How Velox Handles a Cache Valley HVAC Project — From First Call to Final Commissioning

Most residential HVAC contractors run a four-step process: phone call, in-home estimate based on square footage, install, leave. Each step gets compressed to save time. Square-footage sizing replaces ACCA Manual J load calculation. The estimate becomes the install scope without an intermediate engineering step. Commissioning gets reduced to “we turned it on and it ran.” The result is a system that may or may not be correctly sized, may or may not be correctly installed, and may or may not be correctly tuned — with no measured documentation either way. Two years later, when something doesn’t work right, nobody can tell whether the issue is equipment failure, sizing error, installation error, or maintenance error. Stage 1 — First Contact and Triage

The first call goes to Bridget in our North Main Street office during business hours, or to Donald or Marcus directly after hours. The first-contact questions are not generic intake fields; they’re triage. What’s the address? (Determines which jurisdiction’s permits will apply and routes us to known housing-stock characteristics for that neighborhood.) What’s the equipment age and brand? (Affects whether we’re working with R-22, R-410A, or R-454B refrigerant; whether the heat exchanger is on a CPVC or steel vent system; whether the warranty is still active.) What’s the symptom? (Not the homeowner’s diagnosis — the symptom. “Furnace won’t start” vs. “Furnace ignites, runs 90 seconds, shuts off, repeats” vs. “Furnace runs but no heat reaches second floor” are three different failure profiles that route to different parts inventory on the truck.)

Emergency triage gets faster routing: no-heat below 50°F outdoor, gas smell, carbon monoxide alarm, water leaking from the unit, electrical arcing. Those calls go to the next available technician on the next available run, with parts pre-loaded based on the symptom description. Non-emergency calls get scheduled for the next-available window matching the homeowner’s availability.

Stage 2 — In-Home Assessment and Load Calculation

For repair calls, the technician arrives with the diagnostic toolkit (Bacharach combustion analyzer, Fieldpiece JL3 wireless probes, TIF8800X CO meter, Yellow Jacket digital manifold gauges for refrigerant work, Wohler VIS 200 borescope for heat-exchanger inspection) and the relevant parts inventory based on the triage call. Diagnosis runs before any quote. Combustion analysis, static pressure, refrigerant pressures, capacitor microfarad readings, motor amperage, temperature differentials at the supply and return registers — all measured and recorded. The technician shows you the failed component on camera or in person, walks through what the measured numbers mean, and quotes the repair against the diagnosed root cause.

For replacement calls, Calvin runs an ACCA Manual J residential load calculation. This is not a shortcut process: walls measured, R-values estimated from construction era and verifiable insulation, window U-factors entered from NFRC labels when available or estimated from age and frame type, infiltration rate estimated from envelope age and blower-door history if available, internal gains calculated from occupants, lighting, and appliances, and the design temperature applied for Climate Zone 5B (3°F winter 99%, 92°F summer 1%, 60°F coincident wet bulb). The result is a heating and cooling load in BTU/hr that’s often 20–40% different from what a square-footage shortcut would suggest. A 1908 Federal Avenue brick home with original windows can carry 82,000 BTU/hr heating load on 1,950 square feet. A 2022 Nibley build at 1,950 square feet might carry 32,000.

Stage 3 — Quote and Equipment Selection

Manual S equipment selection follows Manual J. The calculated load determines the equipment range; manufacturer AHRI ratings narrow the selection within that range; Climate Zone 5B and Cache Valley elevation considerations finalize the brand and model. A 50,000 BTU/hr heating load could fit a 60,000 BTU/hr nominal furnace from Carrier (single-stage), Trane (two-stage), Lennox (modulating), or Mitsubishi (variable-capacity heat pump with electric backup). Each has different lifecycle cost, refrigerant type, installation footprint, and maintenance profile. Calvin presents 2 or 3 options with itemized cost breakdowns: equipment, line set, refrigerant by pound, electrical or venting modifications, permit fees by jurisdiction, labor hours, warranty registration, and any applicable federal IRA tax credit or utility rebate.

Manual D duct verification runs on every project where existing ductwork is being retained with new equipment. The duct system that was correctly sized for a 100,000 BTU/hr 80% AFUE 1995 furnace at 1,200 CFM is probably wrong for a 60,000 BTU/hr 96% AFUE variable-speed system at 800 CFM nominal cooling and 600 CFM low-heat staging. We measure existing supply and return trunk dimensions, calculate available static pressure, and identify any duct modifications needed before the new equipment goes in. Skipping this step is why so many new-system installs short-cycle, deliver hot spots, or produce condensation in flex runs two years later.

Stage 4 — Installation Day

Permits pull before installation. Logan City Building Inspection issues mechanical permits typically within 2–3 business days; North Logan, Hyrum, Nibley, Hyde Park, and Providence operate similar windows; Cache County for unincorporated addresses runs slightly longer. The permit is posted on the property during work and the inspection card stays with the project file.

Installation crews work in pairs (Annika typically leads, with a second technician assisting). Day-of work order: old equipment removal and refrigerant recovery (if cooling-side work) with EPA Section 608-compliant recovery to recovery cylinder; new equipment placement and structural support verification; line set routing and pressure testing under nitrogen at 500 psi for 15 minutes to confirm leak-free joints; system evacuation to under 500 microns with a digital micron gauge; refrigerant charging by weight against AHRI line set length compensation; electrical connections to code (current 2020 NEC adoption in Utah, with 2024 NEC effective for jurisdictions that have adopted); gas piping and shutoff valve installation per UMC and IFGC; vent termination per UMC 510 with sidewall or roof penetration as appropriate; condensate routing to drain with appropriate trap configuration; and final mechanical inspection scheduling with the municipal inspector.

Stage 5 — Commissioning and Documentation

Commissioning is where most installations get short-changed. Velox commissioning includes: combustion analysis on heating systems (target CO under 100 ppm air-free, stack temperature within manufacturer spec, O₂ percentage in the normal range for the equipment type); refrigerant superheat and subcooling on cooling systems (typically targeting 10±3°F superheat at measured indoor wet bulb, 10±3°F subcooling at measured outdoor dry bulb); static pressure measurement across the air handler at all blower speeds (target under 0.5″ WC residential PSC, under 0.8″ WC ECM variable-speed); supply and return register CFM verification at multiple branch runs with a balometer or anemometer; thermostat configuration verification including any zoning or staged-equipment logic; gas pressure verification at the manifold under firing-rate load against the Dominion Energy meter regulator output; and a written commissioning report delivered to the homeowner including all measured values and target ranges.

The commissioning report is filed with the manufacturer warranty registration, the municipal inspection sign-off, the homeowner’s closing project documentation, and the Velox internal project file. If the homeowner later sells the property, the commissioning report becomes part of the disclosure documentation showing system condition at install.

Stage 6 — Follow-Up and Warranty Registration

Two weeks after commissioning, Bridget schedules a follow-up call: any operational questions, any anomalies the homeowner has noticed, any thermostat adjustments needed. AHRI certification and manufacturer warranty registration are completed by Velox at no charge to the homeowner — Carrier, Trane, Lennox, Bryant, Bosch, Mitsubishi, and Daikin all require dealer-side registration within specific windows (typically 60 or 90 days from install) for extended-coverage terms. Velox handles this electronically through the manufacturer dealer portal. Twelve months after install, Bridget schedules the first annual maintenance visit (or first Velox Comfort Club tune-up if the homeowner is enrolled in the plan).

Frequently Asked Questions

How long does the entire process take from first call to install completion?
For repair calls: typically same-day or next-day diagnosis, with repair completed during the same visit if parts are on the truck (capacitors, igniters, flame sensors, common control boards) or within 2–5 business days if special-order parts are required. For full-system replacement: in-home assessment within 2–3 business days of first call, quote within 5–7 days of assessment, install scheduled 1–3 weeks out depending on equipment availability and homeowner preference. Installation runs 1–3 days for typical residential projects, longer for full duct replacement or hydronic system work. Commissioning happens day of install completion; the follow-up call is two weeks later.
Why do you do a Manual J load calculation on every new system?
Because square-footage shortcuts are wrong in this market. A 2,200 square foot home in Logan’s historic district built in 1925 has a completely different heating load than a 2,200 square foot home in Nibley built in 2022. The historic home might carry 90,000 BTU/hr heating load; the Nibley build might carry 32,000. A “30 BTU per square foot rule of thumb” quoted by some contractors would oversize the new build by 100% and undersize the historic by 35%. Manual J runs the actual envelope assumptions, applies the Climate Zone 5B design conditions, and produces a real load. The 90 minutes spent on Manual J at quote time prevents 15 years of efficiency loss, short-cycling, and humidity problems caused by oversized equipment.
What does commissioning actually involve and why does it matter?
Commissioning is the measured verification that an installed system performs to specification. For a furnace: combustion analysis confirms that the gas-to-air ratio is correct for our 4,500-foot elevation, that the heat exchanger is sealed and not producing excess CO, that the stack temperature is in range, and that the manifold gas pressure matches manufacturer spec for the input rating. For an air conditioner or heat pump: refrigerant pressures, superheat, and subcooling confirm correct refrigerant charge for the actual line set length; static pressure across the air handler confirms that the duct system isn’t over-restricting airflow; CFM at supply registers confirms that conditioned air is reaching the spaces it should. Without commissioning, you have an installation that turned on. With commissioning, you have an installation that’s operating correctly.
Do you subcontract any part of the work?
No, for residential HVAC service and installation. All Velox field work is performed by W-2 employees on Velox payroll, carrying Velox uniforms, driving Velox-marked vehicles, and covered by Velox workers’ compensation and general liability insurance. Specialized adjacent work (major electrical service panel upgrades, structural carpentry, drywall repair beyond cosmetic touch-up) sometimes requires a licensed electrician, framer, or drywall contractor — in those cases we recommend a known-quality subcontractor but the homeowner contracts directly with that party so liability and warranty stays clean. We do not mark up subcontracted trades through Velox.
